Position Overview

Danville Correctional Center is seeking an energetic, self-motivated Executive Secretary Ill to serve as a private and confidential administrative secretary to the Warden. The ideal candidate must maintain a high level of confidentiality, be detail oriented, be dependable, and have excellent communications skills. Job Responsibilities

  • As an administrative secretary, performs duties which are confidential, sensitive and controversial in nature, which have a direct impact on the credibility of the facility (operations, and programs) while providing information on institution programs, policies, procedures, and administrative affairs.
  • Keyboards correspondence, memoranda, reports and other documents.
  • Serves as the liaison to the Central Office staff, Government officials, department heads, staff, and the general public through oral and written communication.
  • Serves as a working supervisor.
  • Greets visitors, screens calls, routes to appropriate destinations, takes messages, and answers routine inquiries.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years secretarial or business college and three (3) years of secretarial experience OR completion of high school and five (5) years of secretarial experience.
  • Requires ability to keyboard accurately at 55 words per minute.

Preferred Qualifications (In Order of Significance)

  • Prefers at least three (3) years of experience working with confidential material.
  • Prefers at least three (3) years of experience applying rules and regulations of a private or public agency.
  • Prefers at least three (3) years of experience applying the principles of office management.
  • Prefers at least three (3) years of experience composing correspondence independently on behalf of another person.
  • Prefers at least two (2) years of experience establishing and developing written instructions and procedures.
  • Prefers at least three (3) years of experience interacting with management, officials of government, private industry, and the public.
  • Prefers at least two (2) years of experience communicating clearly and effectively both orally and in writing.
  • Prefers at least two (2) years of experience gathering, analyzing, and interpreting data and preparing reports.
  • Prefers at least one (1) year of supervisory experience.
  • Prefers at least one (1) year of experience operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department's zero tolerance Drug testing policy. The use of unauthorized drugs, including cannabis by an employee, regardless of the position held is prohibited.
